Planning Staged Cargo Releases from a Warehouse

For staged cargo releases, identify shipment lines, quantities, authorised recipients and arrival times, then reconcile changes and remaining stock.

Link every release to a shipment

Use a separate reference for each shipment or product group. State that reference, goods, unit and quantity in the release request. A phrase such as “part of the previous load” does not identify an exact release line.

Specify the quantity and unit for each stage

Request quantities using the units used in the shipment records. Do not combine a package count and a weight into one ambiguous total. Resolve unit changes or inconsistent information before the planned release.

Confirm the recipient, vehicle and time for that stage

Include the authorised recipient, contact person, vehicle and proposed time in each stage request. Agreement on one stage does not automatically schedule later stages. Report any change of recipient or vehicle before arrival.

Update the plan for the remaining goods

After each release, reconcile the delivered and remaining quantities with the relevant records. Report changes to the next departure date or a longer storage period for review. Include the storage needs of the remaining goods in subsequent arrangements.
